Term Time Pro-Rata’d Working Days

Non-Teaching Staff

For those who manage term time (non-teaching) employees, it is important to understand how many days that employee is expected to work according to the working calendar and whether they may be owed leave or owe leave depending. This will enable you to manage time and service needs in advance of the year.

In 2023, Term Time employees who work 35 hours per week are expected to work 196 days within the year from 1st January – 31st December, including 5 Inservice Days.

Should your employee be part time, it is important that you discuss with them at the beginning of the year what they are expected to work.

Each day of an employee’s contract would equate to 0.2 FTE.

For example: should your employee work 21 hours per week, Monday Tuesday and Wednesday, they are working a 0.6 FTE contract.

You would then calculate that 196 days x 0.6 contracted hours = 117.6 days expected to work.

You would use the calendar to count how many Monday, Tuesday and Wednesdays fall on working days or In-Service days. Should this be 118 days, they would be expecting 0.4 days due back to them, which will be discussed between yourselves on how this can be used accordingly to service demands.

We recommend that this is then input into iTrent under Special Leave – Time Off In Lieu so this is recorded accurately.

Should the employee work 116 days, then they would owe 1.6 days and would arrange with yourself to work this time back.

Teaching Staff

For those who manage part time teaching staff, it is important to understand how many days that employee is expected to work according to the working calendar and whether they may be owed leave or owe leave depending. This will enable you to manage time and service needs in advance of the year.

Teachers Pro-Rata’d Working Days (attach with 2023/24 calendar and possibly 22/23 calendar?)

Teachers on 1FTE would be expected to work 195 days during the teaching year (1st August until 31st July)
